Summary of job role and place in organization

As the Creative Project Coordinator, you will coordinate projects for a team of 20+ designers in Romania and India. Reporting directly to the Graphic Design Manager, you will play a pivotal role in ensuring that design projects have clear design briefing and are completed on time, maintain quality standards and meet the required objectives.

Purpose of the job     

As Creative Project Coordinator, your primary responsibility is to ensure the Graphic Design team has proper briefing, necessary updates and is on track with the design materials needed for all projects. You will collaborate closely with the core and production design teams, as well as the stakeholders of the projects, making sure that information and expectations are communicated between them.

As Creative Project Coordinator you will play a critical role in driving the success and effectiveness of the design team, contributing to the overall growth and impact of the organization's visual identity and brand presence. You will:

• Project Planning & Coordination: Initiate projects by gathering requirements and timelines, then brief the design team with clear tasks based on priorities and availability.
• Team & Workflow Management: Oversee the design team’s workflow, assign tasks, set deadlines, and ensure timely,
  - quality deliveries.
• Progress Monitoring: Track project status regularly, adjust plans as needed, and take proactive steps to keep everything on schedule.
• Stakeholder Communication: Serve as the main liaison between stakeholders and the design team, providing updates and managing expectations.
• Problem-Solving & Issue Resolution: Address challenges promptly, resolve conflicts, and manage scope changes to ensure smooth project execution.
• Process Optimization: Continuously improve workflows, incorporate feedback, and implement lessons learned from project debriefs.
• Documentation & Reporting: Maintain accurate records of project details, progress, and decisions, and share regular updates with management and stakeholders.

We ask:

• Bachelor’s degree in Project Management, Business Administration or related field, plus a minimum of 5 years in a project management or supervisory role.
• Excellent attention to detail and
  - oriented mindset, with the ability to manage multiple projects simultaneously, while maintaining a strategic focus on the bigger picture and delivering results.
• Strong communication, interpersonal, and
  - management skills, with the ability to

build and maintain strong client relationships and have a collaborative approach to team work, listening to their needs and offering constructive feedback.

• Adaptable and flexible - Comfortable with adjusting project plans or priorities when circumstances change or unexpected issues arise.
• Fluency in English is required, with proficiency in other languages considered beneficial.
• Understanding of design principles is a plus.
• Familiarity with Atlassian tools such as JIRA and Confluence is a plus.
