Job Summary
We are looking for an experienced executive assistant with very good organizational skills, high curiosity and high energy, hunger for success and one who desires a role which will test their ability. This person will assist our Head of GSS and our GSS Leadership Team with activities supporting our +100 person Global Sourcing Services (GSS) team. Our team operates in Romania, Mexico, China, India the Philippines with the majority of team members located in Bucharest, Romania.
You will be responsible to support the activity of the GSS leaders, organize governance forums and communications activities across the GSS Unit and stakeholder community and coordinate internal events to achieve our scope.
You will:
• Assist the Head of GSS and the GSS leadership team in their day to day activities.
• Manage calendar on behalf of the Head of GSS;
• Schedule, prepare, and facilitate GSS unit leadership team meetings, operational review meetings, All Employee Meetings, and other import unit meeting. This includes coordinating, compiling, preparing and reviewing presentation materials, and other information on behalf of the GSS unit and leadership team, as well as recording and proper storage of action items and minutes of meetings;
• Review and prepare communication material for the GSS unit;
• Support organizational changes and updates of employees in the dedicated tools;
• Administrate employment entry and exit for employees;
• Plan, organize and book travel arrangements ensuring all corporate policies are followed e. g. travel booking, hotel, other transportations, security arrangements. Level of support as agreed with unit leader;
• Support and organize visa arrangements, invitation letter, and letter of guarantee for internal/external travels according to regulations. Level of support as agreed with unit leader;
• Support with administration of project assignments e. g. coordinate internal/external office relocation;
• Represent the GSS unit as requested by the GSS leaders and according to company policy;
• Ensure that the level of administrative support meets the business needs of the GSS unit and leadership;
• Coordinate and contribute with new ideas to improve and optimize administrative efficiency. Implement as applicable;
• Ensure that administrative routines follow directives and policies;
• Network with other assistants and share information to resolve administrative issues/questions;

• Create, write and build content for information sharing purposes. Communicated through Yammer, Share

• Prepare and distribute lists/templates e. g. distribution lists, vacation lists, unit specific templates, forecasts;
• Handle, prepare and amend purchase orders, invoices, etc. according to Ericsson policies and local cost directives e. g. Ericsson Buyer, Ariba Guided Buying, Concur, etc. as agreed with manager;
• Handle and create claims for reimbursements on behalf of GSS leaders or unit employees e. g. Concur as agreed with manager
• Act as expert for administrative systems and guide in routines, e. g. EB, AGB, ESS, MSS, Eri

To be successful in the role you must have:
• Bachelor degree in Business, Economics, Marketing or similar, or corresponding knowledge achieved through work experience and other trainings;
• Fluent in written and spoken English
• Planning and organizational skills;

• Strong communication skills;
• Very good command of Microsoft Office Suite and Outlook;
